This section covers understanding what you own. You can’t manage software assets if you don’t have clear visibility into what you own – at SoftwareONE we refer to this as entitlements, and it’s often step one of your SAM plan.
Provision and Procurement
In order to avoid rogue software purchases and adhere to a Software Asset Management plan, you need to have an understanding of WHO is responsible for managing the process – this is where Provision and Procurement comes into play.
Purchasing
In today’s day and age it’s easier than ever to purchase software, however if you have the right procurement guidelines in place (see Provision and Procurement) then purchasing falls into line. It’s essential to have visibility into what SoftwareONE calls the “inventory.” In other words before buying more, renegotiating licenses or retiring certain purchases, do you know what you have in place today?
Software Consumption
Just as important as entitlements (what you own) and inventory (what is installed) is consumption – what software is actually being used by the employees across your organization.
Change Management
Visibility into your software estate is often just the beginning. Being able to act on the data of what software is owned, what’s installed and who is using it is a critical step. Having the agility and expertise in house to turn off certain applications or test new applications is often overlooked.
Reporting
The ability to proactively prepare for an audit is worth the peace of mind that a Software Asset Management plan provides.
